Your privacy, plainly

Prepared Presence exists for honest reflection before high-stakes conversations. That only works if you trust how your words are held. This notice explains, without jargon, what is collected, where it goes, and how long it stays.

Who is responsible

Prepared Presence is operated by Matthew Gilsenan ([legal entity / sole proprietor], based in Basel, Switzerland). For any privacy question, or to ask that your data be deleted, write to privacy@preparedpresence.com.

What we collect

  • Your first name. The free profile asks for a first name only — no surname and no account.
  • Your written answers to the questionnaire for the tier you choose.
  • An optional voice note, only if you choose to record one. The form works fully without it.
  • Your email, only if you provide it — optional on the free profile (to receive a copy of your read), required on the paid tiers so we can deliver your evaluation or arrange your session.
  • Whether the conversation concerns an individual or a group — to tailor the questions.

We do not place your name or email in web addresses, and we collect no more than is needed for the work.

Anonymity on the free profile

The free profile is designed to be answerable anonymously: first name only, no email required, and your read is shown on screen the moment you finish. Technical anonymity necessarily ends at the first payment, where our payment processor collects an email and the cardholder's name — but a first-name basis as a working relationship can be kept throughout.

Where your data is held, and who processes it

Your responses and any audio are stored in Matthew Gilsenan's own Google Workspace — a spreadsheet and a access-restricted Drive folder that only he (and the service account that writes to them) can reach. To run the service, a small number of trusted providers process data on our behalf:

  • Google (Workspace — Sheets & Drive). Stores your answers and any voice note.
  • Deepgram. Transcribes your voice note to text, if you record one.
  • Anthropic (Claude). Generates the on-screen read on the free tier only, from your written answers and any transcript. The paid tiers are delivered by a human and do not use this step.
  • Stripe. Processes payment on the paid tiers. We do not see or store your full card details.
  • [Hosting provider, e.g. Vercel]. Runs the website and processes requests in transit; it is not a long-term store of your responses.

Some of these providers are based outside Switzerland and the EU (including in the United States). Where that is the case, transfers are made under appropriate safeguards (such as standard contractual clauses). We do not sell your data, and we do not use it for advertising.

How your information is used

  • To generate your on-screen read (free tier).
  • To prepare and deliver a coach's evaluation ($149) or to prepare for and conduct your live debrief ($499).
  • To email you a copy of your read or to contact you about your chosen tier, where you have given an email.

The voice note, where provided, is kept so the coach can listen directly; the transcript is a convenience, not a replacement.

How long we keep it

Audio and responses are retained only through the engagement and are deletable on request. We aim to remove voice recordings within [retention period, e.g. 12 months] of your last contact unless you ask us to keep them, or we are required to retain certain records (for example, payment records for tax purposes).

Your rights

Subject to Swiss (FADP) and, where applicable, EU (GDPR) law, you may ask to access, correct, or delete your data, or to limit how it is used. To exercise any of these, email privacy@preparedpresence.com. You may also lodge a complaint with your local data protection authority.

Security

Data is transmitted over encrypted connections (HTTPS) and stored in access-restricted locations. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information and to limit who can see it.

Changes to this notice

We may update this notice as the service evolves. The date at the top shows when it was last revised.
